Building Optio: The Missing Operational Dashboard for Scaling Teachable Schools

The Solopreneur Era is Evolving

Standard course platforms are incredible at one thing: helping you sell your knowledge. For years, the e-learning ecosystem was dominated by passionate solopreneurs selling weekend projects. If you were running a one-person show, the native dashboard was all you needed.

But the industry has matured. Today’s successful creators aren’t just selling a few courses; they are running robust B2B operations and scaling academies. And when a business scales, the founder can no longer wear every hat.

You need to hire Virtual Assistants to manage student support. You need to bring on dedicated Tutors to handle course feedback and grading.

And that is where the standard dashboard breaks down.

Handing over the master login to your entire business’s revenue engine just so a VA can check a student’s progress is a massive security risk. It’s an operational bottleneck that keeps founders stuck in the weeds instead of focusing on growth.

Teachable plans are fixed to the following admin roles:

Enter Optio: Granular Control for Teachable

I’m currently in the initial build phase of Optio, a dedicated operational dashboard built specifically for scaling Teachable schools via their API. Teachabl API is currently in version 1.0, but there are plans to roll out version 2.0 sometime in the future (no ETA yet – if I hear more, I’ll let you know!)

The core mission? To allow founders to safely delegate work, protect their data, and get deep insights into their school’s performance without compromising security.

1. Secure VA Access (Read-Only)

Instead of sharing your Teachable password or using one of your precious admin roles, Optio allows you to invite a Virtual Assistant into a compartmentalized dashboard. They get access to the Student Directory, course rosters, and lookup tools so they can handle customer support tickets perfectly.

What they don’t see? Your revenue, your bank details, or your API settings.

2. Tutor Access (Category Filtering)

If you run an academy with multiple instructors, you don’t want a math tutor messing with the science curriculum. We are currently rolling out a Tutor role that filters the dashboard based on specific course categories. Tutors only see the students and courses they are directly responsible for managing.

3. The Financial Pulse

For the founders, we’ve built a server-side rendered financial engine that syncs your Teachable transactions to provide actionable insights. No more downloading CSVs to figure out your Student Lifetime Value (LTV) or tracking your highest-spending “Whale” students.

4. Retention Alerting

Identifying students who have gone “dark” so your VA’s can proactively reach out to them before they churn.
